Frequently Asked Questions
Will we have to change our phone numbers?
No. We port your existing numbers to the new system. Your patients, referral sources, and marketing materials all keep working. The porting process typically takes 1-2 weeks and we coordinate the cutover to minimize disruption.
What internet speed do we need?
Each concurrent call uses about 100 Kbps. For a typical practice with 5-10 phones, a standard business internet connection (50+ Mbps) is more than sufficient. We assess your bandwidth during planning and recommend upgrades if needed.
What happens if our internet goes down?
Calls automatically forward to mobile phones or an alternate number you specify. Voicemails are still captured and delivered to email. When internet returns, everything works normally. This is actually better than traditional phones, which just go dead.
Is VoIP HIPAA compliant?
Our system is designed for healthcare. Calls are encrypted, voicemails are stored securely, and call recordings meet compliance requirements. We sign a Business Associate Agreement. That said, HIPAA compliance also depends on how you use the system—we help you configure it correctly.
What about fax? We still need to send and receive faxes.
Our fax service works standalone—no VoIP required. Two options: Fax to Email/Portal at $15/month (fully digital, no fax machine needed) or Traditional Fax + Cloud at $49/month (keep your existing fax machine, connect it via ATA device). Both include delivery confirmation, searchable archives, and HIPAA compliance. Port your existing fax number or get a new one.
Can we keep our existing phones?
Sometimes. If you have newer SIP-compatible phones, we can often repurpose them. Older analog or proprietary phones typically need to be replaced. We'll assess your equipment during discovery and give you options.
How much does it cost?
$25 per user per month for unlimited voice. That's it—no tiers, no add-on fees, no surprises. Hardware (desk phones) is a separate one-time cost if you need them, typically $100-300 per phone. Or use the mobile app and softphones at no additional cost. Fax service is separate: $15/month for digital fax (email/portal) or $49/month to keep your existing fax machine (with ATA).
What if we need help after setup?
Ongoing support is included. Call or email when you need changes—new users, updated greetings, modified call flows. We also provide a web portal where you can make many changes yourself if you prefer.
How long does implementation take?
Typical implementations take 2-4 weeks from kickoff to go-live. The main variable is number porting, which depends on your current carrier. We can set up a parallel system quickly if you need to move faster.
